A client portal for photographers that keeps bookings, contracts and payments organized

A photographer’s year is a pile of promises with dates attached. A wedding in June, a brand shoot in August, a family session that moved twice. Each one has a package, a retainer, a contract, a balance due, a shoot date and a delivery deadline, and each one is usually scattered across emails, texts, a notes app and a spreadsheet you swore you would keep updated.

CloveDesk gives every client one private, branded space. You send the package quote, get the contract and releases signed, invoice the retainer and the balance, share what you want them to see, and keep a record of it all. Your client opens a link from an email. No account, no password.

Where photography admin usually goes wrong

Most photographers love the shoot and dread the paperwork around it. These are the usual trouble spots:

  • The booking is not really booked. A date is “pencilled in” for weeks because the contract and retainer are still floating around. Then a second enquiry for the same date arrives.
  • Contracts live in a pile of attachments. When a client asks what the cancellation terms were, you search your sent folder.
  • Usage and copyright are an afterthought. The licence you meant to grant, and the one the client assumed, are not the same.
  • Payment schedules rely on memory. The retainer, the mid-way instalment and the final balance all need sending, tracking and chasing, in the right order.
  • Releases are missing. A model or property release signed on a phone screenshot is not much use if anyone ever questions it.
  • Final files go out too early. Handing over the full set before the balance is paid makes the last invoice awkward to collect.
  • Costs disappear. A second shooter, travel, props, prints and an album are paid from your own pocket and forgotten when you set your next package price.

A client portal does not edit your photos or find your light. It keeps the business side as polished as the pictures.

How a booking runs in CloveDesk, step by step

Here is a realistic flow for a wedding or event booking. The same steps work for portraits, brand shoots and commercial jobs. The how it works walkthrough shows each screen with screenshots.

1. Create a workspace for the client

Set up a workspace with the client’s details, then a project for the booking, such as “Smith wedding” or “Spring product shoot”. If a family comes back every year or a brand books you quarterly, each shoot becomes its own project in the same workspace, so the history stays in one place.

2. Send a package quote the client can answer

Build the quote with a line for each part of the package: coverage hours, a second shooter, an engagement session, an album, extra prints. Use the notes to state what is included, how many edited images to expect, the delivery timeframe and what is not covered, in the client’s currency. Or upload your own proposal PDF. The client approves, asks for changes or declines, and revisions are kept in a history so everyone can see exactly what was agreed.

3. Get the contract signed to lock the date

Upload your photography agreement, with coverage, copyright and usage, cancellation and rescheduling, payment schedule and delivery terms, and send it for signature. The client signs by drawing or typing, on a phone if that is where they open it. You both receive the signed PDF with a certificate page and an audit trail. A date should not be considered booked until the contract is signed and the retainer is paid, and now you can see both in one place.

4. Collect releases and side agreements

Model releases, property releases and second-shooter agreements are the paperwork that often gets skipped. With Universal E-Sign you can send any PDF to anyone through a private link, including people who are not your client, such as a model, a venue manager or an assistant. Everything comes back signed with an audit trail, and your address book remembers the contacts you use often.

5. Invoice the retainer and the balance

Create an invoice for the booking retainer and send it with payment terms and a due date. Later, send the balance invoice with its own due date, ahead of the shoot or the delivery. Add your payment links, such as PayPal, Stripe or Wise, and the client sees a Pay button on the invoice, in the email and on the PDF. The money goes straight to you. Mark each invoice as paid with the date when the payment lands.

6. Share planning documents

Upload the shoot timeline, location notes, shot list and style references, and choose what the client can see. It gives wedding couples and brand teams one place to find the plan, instead of an email from three weeks ago. Each file has a comment thread shared with the client for quick questions or changes. Labels help you organize files by shoot, and they are for you only.

7. Follow up on late payments without awkwardness

You can see when the quote, contract or invoice was opened and when the client last visited the portal. Overdue invoices are flagged automatically, a reminder takes one click, and reminders can go out on their own. A dashboard shows everything waiting on a client, which beats checking five inboxes the week before a wedding.

8. Deliver files once the balance is paid

You choose which files each client can see. Keep the final selects private until the balance is paid, then share them and email the client that they are ready. Many file types and sizes are supported, within your plan’s limits. See the note below about full galleries, because this is where you should be clear about how you use it.

9. Know what the shoot really earned

Log travel, a second shooter, props, prints, album production and software against the project, in the currency you paid. That matters for destination work, where costs arrive in several currencies. The project shows its own revenue and costs, and the workspace adds them up for the whole client. The guide to freelance expense and profit tracking explains how to read the numbers and price your next package properly.

What your clients experience

Your clients are couples, parents, founders and marketing managers, usually busy and rarely patient with software. They get an email with a link and open a clean page with your logo and colors. They see what needs them: a quote to approve, a contract to sign, a retainer to pay, a timeline to read. They can sign on a phone, ask for changes, comment on files and pay through your links. There is no login to create, which is a gift when the person booking you is also planning a wedding.

What CloveDesk doesn’t do for photographers

Photographers have specific needs, so here is exactly where the limits sit:

  • It is not a gallery or proofing tool. There are no favorites, selections, print stores or gallery pages. Clients can view and download the files you share, but for large galleries with client picking, keep using a dedicated gallery service and use CloveDesk for the contract, payments and paperwork.
  • File sizes and storage have limits. Many file types and large files are supported, but your plan sets the maximum file size and total storage. Check the pricing panel before planning to deliver thousands of full-resolution images.
  • No booking calendar or online scheduling. Clients cannot choose a session time inside the portal.
  • No questionnaires or enquiry forms. Collect inquiries and shoot questionnaires another way.
  • Clients cannot upload files. They can view, download, sign and comment, but not send you images, lists or inspiration through the portal.
  • No messaging and one person per account. Conversations stay in your email or chat, and it is built for solo photographers and small studios.
  • Payments happen outside CloveDesk. Clients pay through your links, and you mark the invoice as paid.
  • Branded, not white label. Your logo and colors appear throughout, but the portal runs on a CloveDesk address.

If you want an all-in-one studio suite with leads, forms and scheduling, the HoneyBook alternative and Dubsado alternative pages explain where those tools make more sense.

Who this suits

CloveDesk fits wedding, portrait, family, event, brand, product and commercial photographers who:

  • sell packages with a retainer and a balance
  • want contracts, releases and cancellation terms signed and findable
  • prefer to hold back final files until payment is complete
  • run their own bookings without a team or a studio manager

For other creative professions, see the client portal for graphic designers and client portal for web developers pages. For the broader picture, start with the client portal for freelancers guide.

Moving over from email, spreadsheets and cloud folders

  1. Start with your next enquiry. Send the quote and contract through CloveDesk from the first yes.
  2. Bring upcoming bookings over. Set up a workspace for each, upload the signed contract, and send the next invoice from CloveDesk.
  3. Save your defaults once. Business details, standard terms, cancellation wording, payment links and branding are reused on every quote and invoice.
  4. Keep your gallery service. Continue using it for delivery and proofing, and let CloveDesk handle the contract, payments and paperwork.

Frequently asked questions

What is a client portal for photographers?

It is a private place where each client can see the package quote, sign the contract, pay invoices, read shoot plans and download the files you share, without digging through email. For a photographer, it replaces scattered attachments with one organized space per client.

Can I deliver my photo galleries through CloveDesk?

You can share files and let clients download them within your plan’s file size and storage limits. It is not a gallery host, so there are no client favorites or proofing tools. Many photographers pair it with a gallery service.

How do I make sure I get paid before delivering photos?

You decide what the client can see. Keep the final files private, send the balance invoice, mark it paid when the money arrives, then share the files and email the client.

Can I collect model or property releases?

Yes. Universal E-Sign lets you send any PDF to any email address through a private link, so a model, venue or second shooter can sign without being a client.

Can I take a retainer and a final balance?

Create one invoice for the retainer and another for the balance, each with its own due date and Pay button. Overdue invoices are flagged and reminders can be automatic.

Do my clients need an account?

No. They open a link from their email. There is no password and no sign-up.

Does it work for clients abroad or in other currencies?

Quotes and expenses support many currencies, which helps with destination work. Clients pay through the payment links you add.

Are e-signatures legally valid?

Signed documents come with a certificate page and an audit trail. E-signature rules vary by country and document type, so check what applies where you and your clients are based.

Can I try it before paying?

Yes. You can start free and run a real booking through it.

Book the date with a signed contract and a paid retainer

Create a workspace, send the package quote, and get the contract signed before the date is locked. It takes about as long as writing the email.
